Salary: £12.00 - £12.35 per hour

Job Description

The Role:

We are looking for someone who has a keen eye for detail, willing to learn, flexibility and ideally some understanding of payroll.

You will analyse and process all incoming payroll details so that all the data is input into the payroll system, calculated and checked in a timely fashion to ensure an efficient and accurate payroll. To complete administrative and customer service tasks to assist the operation of the team and to provide excellent internal customer service to our employees. Day to day work will mainly consist of processing timesheets, which includes manually adding up hours


Payroll Duties:

  • To enter starters on to the payroll system using the information provided, and to perform checks on the starter information to ensure data quality
  • To manage the inflow of timesheets to ensure timely and accurate payments are made to employees, and to report directly to the Payroll Team Leader
  • To sort categorise and prepare timesheets for inputting
  • To analyse incoming timesheets in order to calculate the payments due to each employee
  • To input data from timesheets onto the payroll system with accuracy and efficiency to meet   specific deadlines
  • To process data related to absence, including scanning, calculations, and updating absence records
  • To process all relevant data entry changes into the systems used (iTrent) to enable the running of payrolls, plus the processing of information received from various sources concerning pay data.
  • To create, maintain and update spreadsheets
  • To monitor payroll email inboxes as and where required and distribute incoming emails as directed
  • To complete checks and audits on the payroll data as directed by the Payroll Manager, including cross referencing data to ensure accuracy
  • To work in a logical and organised manner and ensure all data is stored in a structured way that makes it easily identifiable
  • To provide efficient, friendly and helpful services as part of the Payroll team. To provide high standards of service quality and customer care
  • To assist in the maintenance and periodically review the paper filing systems of the Payroll Department, to ensure a well-co-ordinated and efficient system of storage, location and retrieval
  • Organise computer files and document referencing on the network in a logical manner consistent with in-house systems. Regularly archive files according to company procedure.
  • To carry out general administrative duties, including word processing, data entry, spreadsheets, photocopying, filing, faxes, mailings, and sorting correspondence
  • To liaise with the Payroll Team Leader on a regular basis and ensure good communication with all members of the team
  • To accurately input data from an employee’s timesheet to include all pay elements in line with contractual entitlements.
  • Complete pay elements audits in partnership with the direction of the payroll line managers.


Responsibilities:

  • To provide a high standards of data entry accuracy within the payroll timescale cycles.
  • To support the effective operation of the monthly and weekly staff and, ensuring the accurate payment of salaries/pensions, through the provision of accurate and timely data entry into the systems used.
  • To provide administrative and telephone support to the Payroll Department.
  • To provide efficient, friendly and helpful services as part of the Payroll team.
  • To liaise with the Payroll Manager on a regular basis to provide updates in relation to any actions that are required to ensure that employee’s queries are actioned on a triage basis.
  • To carry out general administrative duties, including word processing, data entry, spreadsheets, photocopying, filing, faxes, mailings, and sorting correspondence.

Experience Required:

  • Accurate and efficient high volume data input
  • Ability to analyse and interpret complex data accurately
  • Experience of working in a fast paced office environment and able to remain calm when under pressure                                                                      
  • A common sense approach to problem solving    
  • The ability to work to deadlines under pressure
  • A working knowledge of Windows and MS Office
  • Good working knowledge of spreadsheets e.g. Excel         
  • A good standard of numeracy (Minimum of GCSE grade C or above)
  • Excellent verbal communication skills      
  • The ability to work flexibly according to the changing needs of a busy office
  • A good standard of oral and written English
  • Willingness to consult colleagues and to work as part of a team
  • A commitment to customer care and the ability to lead by example in providing exemplary customer care at all times
  • Able to deal with employees in a mature and professional manner
  • Willingness to work flexible hours which may include some evening and weekend work as agreed with line manager
  • Willingness to attend training courses and events , and to participate in regular supervision with the line manager
  • Previous payroll experience
  • Previous customer service experience and ability to handle and manage high frequency employee calls
  • Experience of working on a payroll  system (iTrent)


Hours of Work                                 

Full time hours: 37.5 per week. Hours are to be worked flexibly.

Holidays                                             

25 days plus 8 statutory days pro rata.
